AI agents for operations

An AI agent for operations takes a request, does the steps a person would do in your systems, stops for a person only where your rules say so, and finishes the job. Here is what that looks like, what it is good at, and where to start.

What an operations agent actually does

Most operations work is a chain of small steps between a message and a system: a customer asks for a quote, someone checks the price list and stock, someone approves the discount, someone updates the CRM, someone sends the PDF. Each step is quick. The job takes days because it waits between steps.

An agent does the chain without the waiting:

  1. Reads the request on the channel it arrived on: WhatsApp, email or a call.
  2. Works in your systems: looks up the price, the stock, the order, the customer, through the sheet, CRM or API you already use.
  3. Stops for a person where your rules say so: a discount above a limit, an order above ₹1 lakh, a customer flagged for credit.
  4. Finishes the job: sends the quote, books the dispatch, raises the invoice, sends the payment link, updates the record.
  5. Writes every step down, so anyone can see what was done and why.

Jobs that suit an agent

Job What the agent does Where a person stays
Quotations Reads the enquiry, prices it from your list, sends the quote Discounts above your limit
Order taking Captures items and quantities from a chat, confirms, creates the order Credit holds, unusual quantities
Dispatch updates Gets locations and arrival confirmations from drivers and transporters Breakdowns and disputes
Payment follow-up Sends reminders, captures a promise date, sends a payment link Disputes, write-offs
Appointment desks Books, moves and confirms appointments, calls the day before Medical or legal questions
Lead qualification Answers every enquiry in seconds, asks your questions, hands hot leads over The sale itself

Good first jobs share three things: they arrive as messages, they follow rules you could write down, and the cost of waiting is real (a lost order, a late payment, an idle technician).

What it is not

How a launch usually goes

A typical first agent goes live within a week: connect the WhatsApp number and the systems it needs, describe the job in plain words, test it on your real past cases, then turn it on with every step logged. We set the first job up with you and run it live on a call.

What it costs

There is no seat fee or subscription. When an agent talks to someone on WhatsApp, a conversation (one person, one number, 24 hours) costs ₹0.30, AI included, plus Meta's own message charge at cost. Larger back-office jobs are scoped with you. See pricing or book a demo.

Questions

What is an AI agent for operations?

Software that takes an operational request (a quote, an order, a payment follow-up), carries out the steps in your systems the way a trained person would, asks a person where your rules require it, and records every step. Unlike a chatbot, it does the work, not only the conversation.

Which operations tasks can AI agents automate?

Repetitive, rule-based jobs that start with a message: quotations, order capture, dispatch and delivery updates, payment reminders and collections, appointment booking, lead qualification and internal approvals.

Will an AI agent make decisions without us?

Only the ones you allow. You set the rules, such as "any quote above ₹1 lakh needs the sales head", and the agent stops and asks. Every step is logged, so you can see what it did.

Does it work with Tally, SAP or our CRM?

It works through what your systems already expose: Google Sheets, CRMs such as HubSpot, Zoho, Salesforce and LeadSquared, Shopify and WooCommerce, Razorpay payment links, and any system with an API or webhook. For a system without an API, we work out the connection with you during setup.

How long does it take to set up?

A first job usually goes live within a week, after it has been tested on your own past cases.
